Which event for which occasion?
Whether intended for external communication or conceived as a moment of sharing between colleagues, professional events mark the history of a company.
They accompany an important milestone, inform, celebrate and create emulation and engagement; they bring new projects and new ambitions to life and add the little extra soul that makes a brand or a company successful.
To ensure that every condition is in place for your events to succeed, By Kadrance supports you in organising them. Here are the elements you need to determine first of all:
The date of the event
The date should be chosen according to your organisation’s activity and constraints (avoid the period close to the accounting year-end or budget submissions), but also the speakers’ diaries and the realities of the calendar (take school holidays, public holidays, election days and major sporting events such as the Olympic Games or the football World Cup into account).
For an external communications event, you should also check the diary of your target audience.
The venue for the event
The venue for the event is a crucial choice. You should favour a central location that is easy for everyone to reach. The venue must suit your event and its audience in terms of capacity (a room suited to the number of attendees), layout (scope for workshops and conferences, promotional stands, a catering area…) and equipment (kitchens, car parks, projection equipment…).
If attendees or speakers are travelling from abroad, find out about accommodation options.
Finally, the venue must fit your budget. To avoid unpleasant surprises, find out about any obligations attached to it (corkage fees, compulsory suppliers…).
The programme and the speakers
Why this event? What are its main themes? What messages do you wish to convey? By answering these questions clearly, you can determine the theme or themes of your event, draw up a list of suitable speakers, workshop topics and activities (shows, talks, various entertainment…).
From this content, you can build a precise schedule, from the welcome of attendees to the close of the event. Remember to include catering moments (lunch breaks, coffee breaks) and pauses.
Your event should not run longer than necessary. Your programme must be realistic, not overloaded, and call on good speakers able to deliver a clear, concise message in the time allotted to them.
The catering
The catering is fundamental to the success of an event, so the food and drink must be chosen with care. The caterer is sometimes tied to the venue, but not always. If so, agree with them a formula suited to your event: sandwich buffet, multi-course meal, walking dinner, coffee breaks… Also find out about the service staff (their number, which should be higher for a seated meal than for a buffet, for example, and their qualifications). This is a decisive criterion for smooth, efficient service.
The logistics of the event
Once your programme is finalised, you can draw up a list of tasks to be carried out before, during and after the event. These may include designing and sending invitations, managing registrations, preparing name badges for attendees, promoting and/or communicating the event (posters, flyers, advertising campaign…), and setting up and clearing the room. This list will also allow you to itemise the equipment you will need (name cards for speakers, audiovisual equipment, furniture not included at the venue, documents handed out to attendees, gifts for guests…).
The By Kadrance venues, located in Paris, combine accessibility and the proximity of a rich heritage setting with calm, cosy surroundings, sheltered from the tumult of the city.
Like the lines of Charles Baudelaire’s “L’invitation au voyage”: “There, all is order and beauty, luxury, calm and pleasure.”

The venues host seminars, conferences, evening events (cocktail receptions, seated dinners, dance evenings) and showrooms and pop-up stores. They also offer packaged connected events, either fully digital or hybrid.
How do I choose a venue according to the number of guests?
At Le Cercle d’Aumale, the spaces seat from 20 to 150 people for a working day. At Le Pavillon de la Muette, the reception rooms take 30 to 200 people and the summer tent 250 to 300. On Le Bateau Phare, the Deck holds 130, the Carré 100, the Cale 200 and the whole boat 300. See all the venues or contact us for advice.
What is Le Cercle d’Aumale?
It is a nineteenth-century private mansion and former music club in the 9th arrondissement of Paris, now dedicated to professional events. It covers 5 levels and 1,700 m²: a 150-seat screening room, the Club and its 150 m² garden, the Studio, the Atelier and the Penthouse with its rooftop. Discover the Cercle d’Aumale page.
Can I hire Le Bateau Phare for a corporate event?
Yes. Le Bateau Phare, the former Batofar, is moored on the Seine opposite the BnF (Paris 13th) and can be hired in full or deck by deck, Monday to Sunday from 9am to 5am. It offers 600 m² over 3 decks and up to 300 people on the whole boat: Deck 130, Carré 100, Cale 200 and the quayside terrace 300, with group offers from 20 people. Find the details on the Bateau Phare page.
What does Le Pavillon de la Muette offer?
Le Pavillon de la Muette is a royal hunting lodge built for Louis XV in the Saint-Germain-en-Laye forest, less than 30 minutes from Porte Maillot. You can hire the Pavillon with its 3 reception rooms, a 300 m² summer tent and, if needed, its eight historic bedrooms (20 beds). A car park of 70 spaces, 10 of them electric, is available. See the Pavillon de la Muette page.
Can I hire a venue in full or only in part?
It depends on the venue. Le Bateau Phare can be hired in full or deck by deck, while the Pavillon de la Muette lets you choose between the Pavillon, the tent and the bedrooms. At Le Cercle d’Aumale, each level has its own capacity, and the Club can be hired for an evening cocktail reception. To plan your layout, contact the team.
How do I request a quote or book?
Use the quote form on the venue page or the contact page, which lists each venue’s telephone number and email address. The team replies to your message quickly.
Which date should I choose for my event?
Choose the date according to the life of your organisation: avoid the accounting year-end and budget submissions, and take speakers’ diaries into account. Also allow for school holidays, public holidays, election days and major sporting events such as the Olympic Games or the football World Cup. For an external event, check your target audience’s diary as well. Then contact the venue to check availability.
Can I use my own caterer, and what food is available?
By Kadrance can suggest, with its catering service, cocktails, tailor-made buffets with culinary shows or grills. If you prefer your own caterer, the kitchens and all their equipment are made available to them. Our CSR charter also names the committed caterers we work with, and Le Bateau Phare can suggest partner caterers, artists and shows.
What technical and audiovisual equipment is available?
The Cercle d’Aumale screening room has a control room suited to a musical show or a film screening, with HF microphones and cameras. Le Bateau Phare has customisable digital signage screens in all its spaces, including 4 in the Carré and 2 on the Deck, and a video projector is possible on request. It also has Wi-Fi and a redundant internet connection, and the Carré and Cale are air-conditioned. See our connected events for filming and live streaming.
How accessible are the venues, and how do I get there?
The venues comply with ERP (public premises) and PMR (reduced-mobility access) standards. The Cercle d’Aumale is served by metro lines 2, 12 and 13 and by buses 26, 30, 32, 43, 68 and 74. Le Bateau Phare is served by metro lines 6 and 14, RER C and buses 25, 62, 64, 71, 89, 132 and 325. Le Pavillon de la Muette is less than 30 minutes from Porte Maillot and has a car park of 70 spaces.
