Post Covid-19 events: the measures in place at the By Kadrance Cercles

Since 30 June:
- End of curfew-related restrictions
- End of capacity-limit restrictions
- End of catering restrictions (but still keeping the principle of individual servings; buffet formats remain prohibited)
From 21 July, the health pass is mandatory in all ERP (establishments open to the public) venues welcoming more than 50 people. All guests over 12 must therefore present proof of non-infection with Covid:
- Certificate of full vaccination (2nd dose + 14 days)
OR - Negative RT-PCR test less than 72 hours old
OR - Antigen test less than 48 hours old
IMPORTANT: Inform your participants in advance and prefer the digital version; the check will be carried out through the TousAntiCovid Verif app, which will validate or refuse people’s entry.
This information applies to type L ERPs (subject to the publication of a decree) and in strict compliance with the health protocol (wearing a mask, hand sanitiser, etc.).
As the By Kadrance Cercles resume activity after the Covid-19 crisis, our priority is the health and safety of event participants and of our team. To this end, we undertake to put in place strict measures on which we will be uncompromising for as long as necessary.
Safety measures at the By Kadrance Cercles
Both of our sites are equipped with AHU (Air Handling Unit) systems that allow constant renewal of the air in the spaces for a healthier environment.
However, we wanted to go further in this period with safety measures that we undertake to take. Depending on how the health situation develops, these measures may change over time.
1. Physical distancing at seminars and events

To maximise the distance between participants, we undertake:
- To strictly respect the capacity limits authorised by the government in its lockdown-easing plan.
- To favour layouts that minimise face-to-face contact and physical proximity
- In general, to be proactive in the layout solutions proposed to our clients in advance, depending on the expected number of participants
In July, we formalised these distancing rules in line with the COVID-FREE charter (see below).
2. Disinfection of the premises

All of our premises and spaces hosting events are disinfected several times a day with suitable products.
Particular attention is paid to electronic equipment (remote controls, microphones…) and to the surfaces most likely to be touched: door handles, armrests…
In addition, to limit contact with handles as much as possible, doors will be kept open when possible.
3. Protecting staff

It is vital to us that the By Kadrance Cercles teams are protected and set an example in applying safety measures.
Each employee is provided with an AFNOR-standard cloth mask made in France and gloves, in addition to scrupulously following the safety measures and keeping as far away as possible from participants and other team members.
Our logistics managers are your health-safety contacts.
4. Hand hygiene

In addition to having toilets equipped with soap for each space rented, the By Kadrance Cercles provide self-service hand sanitiser on every level, through a “totem” dispenser system.
In addition, single-use tissues are made available in all our spaces for participants’ needs.
5. Use of masks

The By Kadrance Cercles, in line with the guidelines of the public authorities, ask participants to bring their own mask to the event. However, if this is not possible, we offer to provide a few AFNOR-standard cloth masks made in France for our clients.
As with the layout of spaces, the subject of masks is to be discussed with the client ahead of the event to determine with them the organisation and equipment needed.
We have formalised these mask-wearing rules in line with the COVID-FREE charter (see below).
6. Prevention among participants

When the event is being organised, health and safety topics are an integral part of the points discussed with the client in order to find the solutions best suited to their event (capacity and layout of the space, equipment…). The suspension of cloakroom services in particular is reminded in advance of the event so that participants can organise themselves.
During the event, signage elements remind participants of the safety measures and rules to follow (avoid handshakes, exchanging documents, sneeze or cough into your elbow, etc.). Downloading the TousAntiCovid app is also encouraged. In addition, taking temperatures on participants’ arrival is suggested, thanks to thermometers on site.
Other solutions can be put in place, such as belifeline, saliva tests, loxamed…
7. Adapting catering

Catering practices at events are rethought to limit as much as possible participants’ contact with the same object or surface.
- Until 8 June, lunch must be held outdoors, with tables of 6 people.
- Until 29 June, lunch may be served indoors with capacity reduced to 50% and in a seated format only (tables of 6 people)
- After 30 June, there are no more restrictions.
Buffet formats are prohibited in favour of individual catering formats (lunchbox, individual plate, lunch pack…). Service is reinforced so that only the maîtres d’hôtel, themselves trained and attentive to safety measures, are able to hand food to participants. Coffee welcomes and breaks are served on individual plates at each participant’s place.
Our partner caterers have worked on new seated cocktail offers & indulgent jars. At the Cercle LeBrun, the Street Food en Mouvement food trucks set up in the cour d’honneur.
Our commitment with the COVID-FREE label
Both our private mansions have received the COVID-FREE label. The first independent, collaborative health-safety label dedicated to the tourism sector and all ERPs, it makes the safety of the public and professionals a priority.

This commitment is based on three main pillars:
- A rigorous health audit before the label is awarded, based on an analysis procedure developed by a committee of experts, in line with parliamentarians’ recommendations. Both the Cercle d’Aumale and the Cercle LeBrun underwent this audit, which they passed.
- Compliance with the COVID-FREE charter, which notably involves mandatory mask-wearing for events in our venues, as well as a capacity reduced to one chair in two, in a staggered pattern. In addition, in compliance with the charter, cloakroom services are suspended for events until further notice.
- The involvement of participants: it is the clients who attest to the proper observance of the health charter. They are invited, by means of a QR code placed on signage elements, to confidentially report to the establishment any failure in implementing the charter. The aim is thus to constantly improve safety measures to guarantee everyone’s health and safety.
Post Covid-19 events, between safety and new technologies
Besides safety measures, Covid-19 will have a lasting influence on our daily lives with a major development of digital in seminars and events.
Live streaming and online collaboration methods became popular at an accelerated pace during this health crisis. Our venues have significant bandwidth (200 Mb fibre), with backup possible, allowing live streaming with complete peace of mind.
In the events field, the lockdown-easing phase will mean hybrid events. They will allow some participants to come to the event venue, while others can attend remotely and thus multiply your audience.
Event venues with outdoor spaces will be favoured in order to guarantee everyone’s safety. Gardens, rooftops and cours d’honneur are indeed suited to certain team-building activities, team workshops or outdoor meetings.
